Academic Personnel Services would like to welcome new faculty and staff to Miami University. We look forward to meeting you. The first few weeks here will be busy ones. With the goal of providing as much support as possible, we have outlined a process to ensure a smooth transition to Miami.

Once you have received a letter of offer from the Provost:

 

Full-Time Faculty and Unclassified Staff
  • Send your letter of acceptance to Academic Personnel Services, 1 Roudebush Hall and submit the Personnel Data Sheet per this link as instructed in your Welcome letter.
  • All employees must complete an I-9 Employment Eligibility Verification Form on or before the first day of employment. This form will be completed by visiting Academic Personnel Services, 1 Roudebush Hall. This can be done just prior to the Benefit session. To ensure you bring appropriate documentation check the list of acceptable documents and bring them with you. *We cannot accept any expired documents.
  • Academic Personnel Services will provide a temporary three (3) working day parking permit allowing time to receive the permanent parking pass.
  • All employees are required to go to Miami University's office of housing options, meals & events (H.O.M.E.) located in Room 129 Campus Avenue Building (CAB) to get a Miami University ID card. You must present a photo ID to confirm identification.
  • You will need to attend a sign-up session in Employee Benefits & Wellness within the first month of employment where, among other things, you will choose your insurance plan and retirement plan. Enrollment sessions will take approximately two hours. A representative from Employee Benefits & Wellness will contact you via email to schedule an enrollment session.
Part-Time Unclassified Staff
  • Send your letter of acceptance to Academic Personnel Services, 1 Roudebush Hall and submit the Personnel Data Sheet electronically per this link as instructed in your Welcome letter.per instructions in your Welcome letter.
  • All employees must complete an I-9 Employment Eligibility Verification Form on or before the first day of employment. Part-Time Faculty/Credit Hour Faculty
  • A Welcome letter and a white copy of your fully signed contract will be sent to you in the mail. This indicates that Academic Personnel Services has received notification of your appointment and given final approval.
  • Please submit the Personnel Data Sheet electronically per this link as instructed in your Welcome letter.
  • All employees must complete an I-9 Employment Eligibility Verification Form on or before the first day of employment. This form will be completed by visiting Academic Personnel Services, 1 Roudebush Hall. Adjunct Faculty (Non-paid professional association)
  • Return a signed copy of the Personnel Data Sheet and Acceptance form.
  • If you need a parking permit Academic Personnel Services can provide you with the required documentation.

I-9's (Employment Eligibility Verification)
The I-9 is a federal requirement that establishes authorization to work for Miami University. By law, the I-9 must be completed on or before the first day of employment. To ensure you bring appropriate documentation check the list of acceptable documents. *We cannot accept any expired documents.
Transcripts
Miami University requires verification of degrees [when one is required] for the position. Please request that a certified transcript(s) be sent to Academic Personnel Services. Degree certification should be completed before employment begins.
Employee Benefits & Wellness, Room 15 Roudebush Hall (513) 529-3926
New employees need to attend New Employee Orientation at Employee Benefits & Wellness within the first month of employment to review services provided to them based on their terms of employment and complete required forms, including W-4, direct deposit and a retirement form. These sessions are by appointment only. Enrollment sessions will take approximately two hours; A representative from Employee Benefits & Wellness will contact you to schedule an enrollment session. (Part-time faculty are able to complete all required forms at Academic Personnel Services or at the Business Office of a regional campus.) To view Benefit Services New Employees web site click here.
Payroll Services, 2 Roudebush Hall (513) 529-6223
Direct deposit of salary is required and authorization cards are completed during new employee signup. Please bring a voided check to attach to the authorization card. To make a change to your direct deposit information, contact Payroll Services, 529-6223, 2 Roudebush Hall. Pay dates are published on the Payroll Services Web site. Non-US citizens must visit Payroll Services to present specific documents for tax purposes. This must be accomplished within the first several days of employment. To view Payroll Services click here. If you are a non-citizen please provide a passport, visa and work authorization to Payroll Services.
Payroll Schedule Options

Pay dates are the last working day of the month. Faculty and staff with a nine-month full-time academic year appointment may choose to receive the salary spread over 12 months.

For Staff Appointments: Employees with full-time appointments for a 9-month academic year term; 10-month August 1; or 11-month beginning July 1, may receive salary over 12 months. A portion of each month's salary during the term is "deferred" and reserved so that salary is distributed over the summer months, allowing an equal month's salary for 12 consecutive months. If you wish to be paid over 12 months, you must sign a Deferred Pay Authorization form click here. Return it to the Academic Personnel Office one month before you begin employment. This pay plan is not available for appointments less than nine months. Pay dates are the last working day of the month.

For Faculty Appointments:

Full-time faculty appointments are for a nine month term. The default pay schedule is:

August ~1/2 month salary;

September through April full-month salary;

May ~1/2 month salary;

Pay dates are the last working day of the month.

Faculty may receive salary over 12 months. A portion of each month's salary during the term (academic year) is "deferred" and reserved so that salary is distributed over the summer months, allowing an equal month's salary for 12 consecutive months. Please note: By selecting a 12-month pay plan, your first pay for the academic year will be September 30. If you wish to be paid over 12 months, you must sign a Deferred Pay Authorization form which can be accessed by clicking here. Return it to the Academic Personnel Office one month before you begin employment, or sign it in Academic Personnel Services no later than August 10. This pay plan cannot be implemented after the August payroll is completed and is not available for one-semester or part-time faculty appointments.

NOTE: No changes in pay schedule will be made during the academic year, but changes can be made effective the following academic year if a request to change pay schedule is received in Academic Personnel Services by August 10.

What is an I-9?

An I-9 is the Employment Eligibility Verification required by the federal government and must be completed by new employees on or before the first day of their employment date. It demonstrates that a person is eligible for employment in the United States. This form must be filled out in person in the Academic Personnel Services Office and requires proof of identity and citizenship.

When will I be paid?

All faculty, unclassified staff, and graduate assistants are paid on the last working day of the month by direct deposit. The specific months you receive your salary depends upon your appointment. For specific questions call Academic Personnel Services at (513)529-6724.

How do I get e-mail?

Information from your Personnel Data Sheet and appointment form will be used to enter your employment record on the university database. Through an overnight process, an e-mail account will automatically be generated for you. Academic Personnel will respond via email with your unique id and default password that will assist you with logging into your e-mail account. If you have any further questions, please contact Academic Personnel Services.

How do I change my campus address?
You may update your campus address and phone number online, using BannerWeb. Once you have logged on select the Employee Service Online tab.
How do I change my personal information?

Changes such as your home address, telephone, and emergency contact may be made online, using BannerWeb. Once you have logged on choose the Personal Information tab.

However, if you need to change your name you must provide legal documentation and come to the Academic Personnel Services office, Room 1, Roudebush Hall.

What are my benefits?

Eligibility for University-provided benefits are based on the terms of your employment. Benefits may include:
